1. The Master Personnel & Benefits Census (Mandatory Baseline)

To prevent automated data ingestion drops and project delays, your primary spreadsheet matrix must be submitted as a live data file. Mandatory Format: Microsoft Excel (.XLSX) or Comma-Separated Values (.CSV) only. Scanned or static documents (.PDF) are strictly rejected.

  • Personnel & Structuring Identifiers: Employee ID (EE ID), Member ID (Mem ID), Last Name (Anonymized), First Initial, Member Type (Specify: FT, PT, Contractor, or Freelance), Member Salary Type (Specify: hourly, salary, or project-based), Gender, Date of Birth (DOB), Age, State, and Zip Code.

  • Employment & Risk Settings: Annual Base Salary or Hourly Rate, Disability Status, and COBRA Status (COBRA parameters are exempt for Public Government Agencies).

  • Current Coverage Layouts: Medical Coverage Status, Medicare Status, Tobacco Use Status, and Name of Current Medical Plan.

  • Ancillary Coverage Layouts: Dental Coverage Status, Vision Coverage Status, Life Coverage Status, Name of Current Dental Plan, and Name of Current Vision Plan.


2. Targeted Files (Provide strictly based on your selected focus)

For all informational, structural, and legal compliance records below, the Mandatory Format is Adobe PDF (.PDF). Financial and payroll ledgers may be submitted as live spreadsheets (.XLSX).

  • Workforce Resilience & Benefit Compliance Audit Focus:

    • Summary of Benefits and Coverage (SBCs) for all current active lines of coverage, current carrier premium rate sheets, employer/employee premium contribution schedules, and Summary Plan Descriptions (SPDs).
    • Comprehensive documentation of any retirees currently utilizing company health, supplemental, or retirement benefits (specifically noting retiree retirement accounts still housed or managed by your entity).

    • A structural overview of your existing employee offboarding processes, offboarding vendors utilized, and all associated administrative costs.

    • Size-Specific Compliance Logs: If your organization has 50+ employees (all sectors), include your most recent annual IRS Form 1094-C and 1095-C schedules. Include your current Year-to-Date (YTD) payroll benefit deduction registers.

  • Institutional Continuity & Risk Assessment Focus:

    • Private Corporations: Existing bilateral corporate buy-sell agreements (mapping explicit trigger mechanics), operating agreements or corporate bylaws, your most recent independent business valuation appraisal report (or the specific asset formula clause used to calculate corporate value), active key-person life or disability insurance policies (including full policy schedules and listed beneficiary titles), and current permanent policy in-force ledger illustrations.
    • Government Agencies & Non-Profits: Formal Executive Succession Plans, organizational competency and leadership dependency charts, and your active Continuity of Operations Plan (COOP).

  • Fiscal Logistics & Benefit Parity Review Focus:

    • De-identified payroll tax logs, 12 months of consecutive health/benefit premium billing statements, total compensation funding mechanisms, and corporate cash flow summaries related to total compensation overhead.
    • Complete CAA Section 202 Broker/Consultant Compensation Disclosures outlining all direct commissions and back-end carrier overrides built into your commercial premiums.

    • Complete retirement plan asset allocations, document rules/parameters for all employer match scales and amounts, and a de-identified log of per-employee retirement plan contributions per month (tracking both flat dollar amounts and exact contribution percentages) across all active current retirement options.

    • Size/Sector Threshold Logs: If your entity is a Corporation or Non-Profit with 100+ participants, include your most recent Federal ERISA Form 5500 filings and complete ERISA 408(b)(2) retirement plan fee disclosures.

  • Strategic Organizational Feasibility Study Focus:

    • Compile a holistic, integrated combination of all the modules listed across categories above that match your organization’s specific sector and employee size band.

STEP 2: Secure Data Transmission

Option A (Recommended): Secure Private Vault Ingestion

To guarantee absolute data isolation and prevent multi-tenant visibility compliance risks, Ironclad does not utilize a universal public upload link.

  • Ecosystem Initialization: Our security desk is currently provisioning a dedicated, walled-off data repository restricted exclusively to your organization’s authorized email domain.

  • Access Invitation: A secure network access link to your private data vault will be transmitted to your corporate inbox within one (1) business day.

  • Execution: Once received, simply click your custom link and drag and drop your compressed onboarding archive (.ZIP) directly into your secured space.

  • IMPORTANT Notification: Following the successful completion of your upload, please transmit a brief status notification to Engage@IroncladEnterpriseSolutions.com so our advisory team can formally lock the folder and initiate the Data Verification Phase.

Option B: Alternative Encrypted Network Routing

If your agency’s strict internal IT governance, defense-level protocols, or government firewalls require direct encrypted email transmission instead of cloud folder drop-offs:

  • Crucial: You must append your formal Stripe Receipt Number and your exact Organization Name to the email subject line. This ensures immediate identification, decryption verification, and priority processing by our intake desk.

Project Timeline & Performance Thresholds

  1. Data Verification: Within 2 business days of receipt, our advisory team will audit your files to confirm all baseline structural parameters are met.
  2. Analysis Phase: We perform a deep analytical review of your data to isolate fiscal leaks, regulatory exposure, and parity imbalances. This phase requires 14–21 business days from the receipt of all necessary data. Delays in data transmission or to responding to subsequent requests or questions will result in a direct, day-for-day delay in project completion.
  3. The 30-Day Limit: All requested documentation must be successfully uploaded within 30 calendar days of payment. Failure to provide this data within the mandatory window results in automatic project cancellation and total forfeiture of the engagement fee due to reserved operational capacity.
  4. Briefing Delivery: Upon completion of the analysis, you will receive an automated scheduling link to secure your 45-minute virtual Executive Briefing, where we will formally present your formal 10-15 page Report of Findings (ROF) and optimization roadmap.
